01Overview
A CRM the team can trust.
King Luxury needed a CRM its team could trust and use quickly on a phone. Byfocus built an owned system that makes customer responsibility clear and brings the sales the old reports missed into view.
Across Kingluxury, Naturehome, Slumberland and Dunlopillo Luxury, the rebuild brought customer history dating to 2019 into a simpler daily workspace. All 246 migration read checks matched. It runs on King Luxury’s own Docker server, with daily encrypted backups and code the client owns.

02The problem
The old tool hid the real business.
Before the rebuild, the team worked in Getfly. The problems were daily ones, and they added up.
- 01
Cluttered and hard on a phone
The team found Getfly cluttered, slow and difficult on desktop and phone.
- 02
A bill that grew with every seat
Per-seat costs kept rising, while the workflows they needed called for deep custom work.
- 03
Reports with blind spots
One team’s 11,490 leads (28% of all data) were hidden from the director because its leader field was empty. The old team dashboard made 107 database queries; the care report made 184.
- 04
Sales the reports missed
The old setup recorded only a fraction of the won deals that KiotViet invoices showed. The new CRM matches every invoice to its customer, so the dashboard shows the sales that actually happened.
03What we built
One system, screen by screen.
The screens below are rebuilt in English from the live product, with sample data. The real interface is in Vietnamese.
The director’s view
One live view of revenue, targets, teams and the next work that needs attention.
- Monthly targets and revenue pacing
- Revenue matched to KiotViet invoices
- “Needs attention” alerts for overdue customers
- North and South team comparison
- Morning work list and Monday summary
- Median first response: 1 minute
base.klex.vn manages campaigns, tasks, approvals, the content calendar and Drive sync. Product care labels open warranty status by QR at center.klex.vn. The Partner Hub gives architects and designers partner pricing, with access revoked after 90 days.
Every customer, one screen
A profile brings the next action, sales stage and care history into one place. The team can call, send a message or schedule the next follow-up without losing context.
- Call, SMS and Zalo actions
- Sales stage from S0 to S9+
- One-tap care log
- Upcoming care schedule
Ownership without poaching
A salesperson requests exclusive ownership. A manager approves it. Other salespeople then see a locked, masked copy; leaders see only the last four digits.
- Expiring within 14 days
- Ten customers under protection
- Protection has no automatic expiry
- Ownership ranked by salesperson
A cutover audit fixed 39 ownership mismatches against Getfly. Staff edits enter an approval queue, and staff cannot change phone numbers.
A pipeline the team actually uses
Salespeople move cards between stages while source, urgency and ownership remain visible.
- Stage columns S0–S3
- Lead source on every card
- Time-to-action and overdue chips
- Drag handle for reordering
The hall of fame
A monthly leaderboard built from real matched orders gives the sales floor a shared score to chase.
- Podium for the month’s top three
- Ranked list with order counts and milestones
- Built from matched orders only
Built for the phone in a salesperson’s hand
The installable PWA gives the team the same customer and task data as desktop, with push notifications and no app store.

Task queue and due actions
Tasks and calendar
Every follow-up lands in one care queue: a calendar of due dates beside the day’s calls, Zalo messages and showroom visits, each one a tap from done.
- Calendar with due-date markers
- Filters by task type and priority
- Overdue time on every task
- One-tap Complete
Also in the system: revenue analytics with period comparison, duplicate detection and merge, approval rules for staff edits, and a responsive tablet task view.
04Two regions
Two regions. One system.
Leads from Zalo, Messenger, Facebook, TikTok, Google, the website, hotline and events arrive through webhooks, then enter the North or South team’s rotation.
Each region has its own hotline and stock. KiotViet POS orders sync every five minutes.
05Speed
Fast enough for everyday work.
The customer list fell from 490 ms to 22 ms. Search takes 69 ms; a profile opens in 10 ms. Main JavaScript fell from 515 kB to 240 kB.

06Cost
Own the system. Spend less over five years.
For about 50 users, King Luxury was quoted 100–150 million VND a year for SaaS alternatives. The Byfocus build cost 100–120 million VND once, plus 6–8 million VND a year for the server.
370–590MVND saved over five years
SaaS: 500–750 million VND. Owned: 130–160 million VND. Savings: 370–590 million VND.
Break-even after about 8–16 months

07What’s next
Built to connect next.
The foundation is ready for more. These are planned connections, not live features.
- Planned
Quotations across price lists, policies and showrooms
- Planned
A warranty system linked to product QR care labels
- Planned
One hub for the company’s 5–10 websites
- Planned
Conversation reporting across chat channels for the CEO

An AI assistant to draft replies for sales staff
08Result
A system the team trusts.
Since 23 October 2026, about 50 sales and care staff in 14 teams work from one system King Luxury owns: revenue matched to KiotViet invoices, clear customer ownership, and a CRM that is fast on a phone.
